Why Do Printed Colours Differ? A Practical Guide

A bright blue logo can look perfect on a laptop, then arrive on a leaflet looking deeper, duller or slightly more purple. It is a common concern, and the answer to why do printed colours differ is rarely that anything has gone wrong. Screens, inks, paper and lighting all handle colour differently, so a close match needs the right expectations and the right preparation.

For business cards, brochures, posters and exhibition graphics, colour consistency matters because it carries your brand. The good news is that most unwanted surprises can be avoided before the presses start.

Why do printed colours differ from what you see on screen?

Your screen creates colour with light. It uses red, green and blue pixels – known as RGB – and combines them to make vivid, bright shades. A screen can make colours appear to glow because it is actively emitting light.

Print works in a different way. Most full-colour commercial print uses four inks: cyan, magenta, yellow and black, or CMYK. These inks absorb and reflect light from the paper rather than producing light themselves. That means some intense RGB colours, particularly bright blues, greens, oranges and neons, simply cannot be reproduced exactly in CMYK.

This range of reproducible colour is called a colour gamut. A modern mobile phone or high-quality monitor often has a wider, brighter gamut than a printed sheet. When an RGB artwork file is converted for print, the closest printable CMYK equivalent is selected. It may be a very good match, but it will not always look identical to the screen version.

Screen settings add another variable. Brightness, contrast, colour temperature and calibration vary widely between devices. A design viewed on a bright office monitor can look very different on a mobile phone in daylight or a laptop with its brightness turned down. This is why approving a colour purely from an uncalibrated screen is risky, especially for a key brand shade.

Paper changes the appearance of ink

The same artwork can look noticeably different on a silk leaflet, an uncoated letterhead and a textured menu. Paper is not just a surface to print on – it is part of the finished colour.

A coated stock, such as silk or gloss, keeps more ink near the surface and usually gives colours a sharper, richer appearance. Gloss can make photographs and bold graphics feel particularly vibrant, although reflections may affect readability in some settings. Silk offers strong colour with a softer, more practical finish, making it a popular choice for brochures, flyers and presentation materials.

Uncoated paper absorbs more ink. Colours often appear gentler and less saturated, which can be exactly right for stationery, premium invitations or an understated brand. A warm cream stock can make pale colours look warmer, while a bright white stock can make them look cleaner and cooler.

Paper weight matters to the feel of a piece, but its coating and whiteness generally have a greater effect on perceived colour. If you need a campaign to match existing printed materials, tell your printer what stock was used previously where possible.

Finishes can alter colour too

Lamination and varnishes protect printed work, but they also affect how it looks. Gloss lamination tends to deepen contrast and add punch. Matt lamination gives a smoother, more restrained appearance, and can make darker solid areas look slightly richer. A soft-touch finish creates a premium feel but is not always suitable for every design, particularly if you need to write on it.

These are not faults or hidden compromises. They are useful choices that should be made with the intended look, handling and environment in mind.

Lighting can make a correct print look different

Have you ever matched two colours under office lighting, only to find they look different by a window? That effect is real. The colour we see depends on the light falling on the print.

Daylight, warm LED lighting, fluorescent office lighting and retail spotlights all have different colour characteristics. A navy brochure may look almost black under warm lighting but reveal its blue tone in daylight. Cream paper may look more yellow in one room than another.

Professional print checks are usually carried out under controlled lighting for this reason. In day-to-day business use, it helps to judge a proof or sample under the lighting where the item will actually be seen. For example, menus should be considered in the venue’s lighting, while exhibition graphics should be viewed with typical stand lights in mind.

Digital and litho printing can produce slight variation

Digital and litho are both excellent full-colour print methods, but they apply colour in different ways. Digital printing is highly efficient for shorter runs, variable information and fast-moving campaigns. Litho printing is often the best-value option for larger quantities and offers excellent consistency across long runs.

Even when the same CMYK artwork is used, a digital leaflet and a litho brochure may not be pixel-for-pixel identical. Machines, ink or toner behaviour, paper batches and production settings all create small tolerances. Reputable printers control these carefully, but colour is a physical process rather than a fixed number on a screen.

The same applies to repeat orders. If a new order is printed months later, a slight variation can occur because paper stocks, machine calibration and environmental conditions change over time. For most designs this is not noticeable. For tightly controlled branding, it is worth keeping a signed-off printed sample and sharing it when reordering.

Brand colours need the right specification

If a colour is central to your identity, supplying only an RGB value is not enough. RGB is useful for web and screen use, but print artwork needs a suitable CMYK build. Where precise matching is essential, a spot colour may be the better route.

Spot colours are pre-mixed inks created to a defined specification, rather than being built from CMYK dots. They are particularly useful for distinctive corporate colours, metallics and shades that sit outside normal CMYK capabilities. However, they can add cost and may not suit every job, especially short-run digital work or designs that already use full-colour imagery.

It depends on the product, quantity and how exact the match needs to be. A small set of office stationery with a signature orange may justify a spot colour. A short-run event leaflet with photographs may be better printed in CMYK, with the brand colour adjusted to its best achievable equivalent.

How to prepare artwork for more reliable colour

The simplest starting point is to design for print, not for a backlit display. Set up print files in CMYK where possible, use the correct dimensions and include any required bleed. Images should be high resolution at their final printed size, because a low-resolution image can look soft regardless of how accurate its colour is.

Avoid relying on extremely bright RGB shades if they are central to the design. Your design software can often flag colours that are outside the CMYK gamut, allowing you to choose a more printable alternative before artwork is supplied. It is also sensible to keep large black areas as rich black only where appropriate, rather than assuming every black setting will print the same way.

Exporting a print-ready PDF is usually the safest route. Keep fonts embedded or outlined where needed, and do not add automatic colour conversions at the last minute unless you know exactly what they will do. If the artwork has been created by several people or agencies, check that logos and images have not been supplied in conflicting colour modes.

Ask for a proof when colour is critical

A PDF proof is useful for checking spelling, layout, page order and content. It is not a reliable guide to final colour because it is still displayed on a screen. For colour-sensitive work, a printed proof or a sample from a comparable previous job gives a far more meaningful reference.

This is especially worthwhile for brochures with large brand colour areas, retail displays, presentation folders, packaging-style pieces and any item being produced alongside existing materials. Allowing time for a proof can protect both your budget and your brand.

A practical way to avoid surprises

Start by telling your printer what matters most: a particular logo colour, a match to an existing brochure, a premium uncoated feel or bold photographs that need to stand out. A good print partner can then recommend the most suitable stock, print process and proofing approach without burying you in jargon.
